Refund Policy

Thank you for using Letzevent. This Refund Policy outlines the terms under which refunds are granted for subscriptions, add-ons, and event registration fees processed through our platform. Please read this policy carefully before making any purchase.
1. Platform Subscription Fees
1.1 Trial Period
New event manager accounts are eligible for a free trial period. No payment is required during the trial. If you choose not to upgrade after the trial ends, your account will be downgraded and no charges will be made.
1.2 Subscription Refunds
All subscription fees are non-refundable once the subscription period has commenced and access to paid features has been granted. This includes monthly and annual subscription plans.
However, we will consider refund requests on a case-by-case basis in the following circumstances:
- Duplicate payment due to a technical error on our platform
- Unauthorised transaction (subject to verification)
- The Platform was completely inaccessible for more than 72 consecutive hours due to our fault
1.3 Cancellation
You may cancel your subscription at any time. Upon cancellation, you will retain access to paid features until the end of your current billing cycle. No partial refunds are issued for unused portions of a billing period.
2. Add-On Purchases
Add-ons (such as Certificate Generator, Proceedings Generator, Peer Review System, etc.) are sold as one-time purchases per event and are non-refundable once the add-on has been activated and access to its features has begun.
Refunds for add-ons may be considered if:
- The add-on was purchased but never activated or used
- A technical fault prevented the add-on from functioning as described
- A duplicate purchase was made due to a platform error
3. Event Registration Fees (Participant Payments)
Letzevent acts as a platform facilitating event registration. Refund policies for event registration fees are set by the individual event organiser, not by Letzevent.
Important Notice for Participants
Before registering for any event, please review the refund and cancellation policy set by the event organiser on the event page. Letzevent is not responsible for the refund decisions made by event organisers.
If an event is cancelled by the organiser, refund handling will be managed by the organiser. Letzevent will assist by providing transaction records upon request to support the refund process.
4. How to Request a Refund
To request a refund for a Letzevent platform charge (subscription or add-on), please contact our support team within 14 days of the transaction date with the following information:
- Your registered email address
- Transaction date and amount
- Payment reference or invoice number (available in Payment History & Invoices)
- Reason for the refund request
Requests submitted after 14 days will generally not be considered unless there are exceptional circumstances.
5. Refund Processing
Once a refund request is approved, it will be processed within 7–14 business days. Refunds will be credited back to the original payment method used for the purchase.
Processing times may vary depending on your bank or payment provider. Letzevent is not responsible for any delays caused by financial institutions.
6. Non-Refundable Items
The following are explicitly non-refundable:
- Subscription fees for periods already used
- Add-ons that have been activated and used
- Fees for events where the organiser's refund policy does not permit refunds
- Transaction or processing fees charged by payment gateways
- Promotional or discounted purchases
7. Changes to This Policy
Letzevent reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to this page with an updated "Last updated" date. We encourage you to review this policy periodically. Continued use of the Platform after changes constitutes your acceptance of the updated policy.
