By accessing, registering, or using Letzevent, you confirm that you have read, understood, and agreed to these Terms and Conditions, as well as our Privacy Policy and Refund Policy.

If you do not agree to these Terms, you may not use the platform or its services. Continued use of Letzevent constitutes your acceptance of any updates or modifications to these Terms.

2. Eligibility

To use Letzevent, you must meet the following eligibility requirements:

• You must be at least 18 years of age or have consent from a parent or legal guardian.
• You must provide accurate, complete, and up-to-date information during account registration.
• Organizations using the platform must ensure that their authorised representatives and members comply with these Terms.
• You must not use the platform for any unlawful or fraudulent purposes.

3. Account Registration and Security

3.1 Account Creation

Users are required to register an account to access event management tools, registration systems, and other platform features. You must provide accurate and complete information during registration, including your full name, email address, and organisation details (if applicable).

3.2 Account Responsibility

You are solely responsible for:

• Maintaining the confidentiality of your login credentials (email and password).
• All activities that occur under your account.
• Notifying Letzevent immediately if you suspect any unauthorised access or security breach.

3.3 Account Suspension or Termination

Letzevent reserves the right to suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or misuse the platform. Termination may result in the loss of access to events, data, and purchased features.

4. User Roles and Responsibilities

4.1 Event Managers

If you use Letzevent to manage events, you agree to:

• Provide accurate event information, including event details, schedules, registration fees, and refund policies.
• Comply with all applicable laws and regulations when organising events.
• Handle participant data responsibly in accordance with data protection laws (such as GDPR or PDPA).
• Respond promptly to participant inquiries and refund requests as per your stated event refund policy.
• Not use the platform for any illegal, harmful, or fraudulent purposes.

4.2 Event Participants

If you register for events via Letzevent, you agree to:

• Provide accurate registration information.
• Review the event organiser's refund and cancellation policy before making any payment.
• Understand that Letzevent acts as a platform facilitator and is not responsible for event content, cancellations, or refund disputes between you and the event organiser.

5. Payments, Subscriptions, and Add-Ons

5.1 Platform Subscription Fees

Letzevent offers subscription plans for event managers. By subscribing, you agree to pay the applicable fees as stated on the platform. Subscription fees are non-refundable except as outlined in our Refund Policy.

5.2 Add-On Purchases

Add-ons (such as Certificate Generator, Proceedings Generator, Peer Review System, etc.) are available for purchase on a per-event basis. Once activated, add-ons are non-refundable unless stated otherwise in the Refund Policy.

5.3 Event Registration Payments

Event registration fees are collected by Letzevent on behalf of event organisers. Payment processing is handled securely through third-party payment gateways. Letzevent is not responsible for refund decisions made by event organisers.

5.4 Taxes

You are responsible for any taxes applicable to your purchases, including but not limited to VAT, GST, or sales tax, as required by your jurisdiction.

6. Intellectual Property Rights

All content, features, design elements, software, logos, and trademarks on Letzevent are the property of Letzevent or its licensors and are protected by intellectual property laws.

You may not:

• Copy, modify, distribute, or reproduce any part of the platform without prior written consent.
• Reverse-engineer, decompile, or extract the source code of the platform.
• Use Letzevent's branding, logos, or trademarks without authorisation.

User-generated content (such as event descriptions, images, and documents) remains the property of the user. By uploading content to Letzevent, you grant us a non-exclusive, royalty-free licence to use, display, and distribute that content solely for the purpose of providing platform services.

7. Prohibited Activities

You agree not to:

• Use Letzevent for any unlawful, fraudulent, or unauthorised purposes.
• Upload malicious software, viruses, or harmful code.
• Attempt to gain unauthorised access to the platform, user accounts, or systems.
• Scrape, harvest, or extract data from the platform using automated tools.
• Impersonate another person or organisation.
• Spam, harass, or send unsolicited communications to other users.
• Post or distribute defamatory, obscene, or offensive content.

Violation of these prohibitions may result in immediate account suspension or termination, as well as legal action if applicable.

8. Data Privacy and Protection

Letzevent is committed to protecting your privacy and handling your personal data responsibly. Our use of your data is governed by our Privacy Policy, which forms part of these Terms.

By using Letzevent, you consent to the collection, processing, and storage of your data as described in the Privacy Policy.

9. Limitation of Liability

Letzevent is provided on an "as-is" and "as-available" basis. We do not guarantee that the platform will be error-free, uninterrupted, or completely secure.

To the fullest extent permitted by law, Letzevent and its affiliates, directors, employees, and partners shall not be liable for:

• Any indirect, incidental, special, or consequential damages arising from your use of the platform.
• Loss of data, revenue, or business opportunities.
• Disputes between event organisers and participants.
• Technical issues, downtime, or service interruptions beyond our reasonable control.
• Actions taken by third-party payment processors or service providers.

Our total liability to you for any claim arising from the use of Letzevent shall not exceed the total amount paid by you to Letzevent in the 12 months preceding the claim.

10. Indemnification

You agree to indemnify, defend, and hold harmless Letzevent and its affiliates from any claims, liabilities, damages, losses, or expenses (including legal fees) arising from:

• Your use of the platform.
• Your violation of these Terms.
• Your infringement of any third-party rights, including intellectual property rights.
• Content you upload or share via the platform.

11. Third-Party Links and Services

Letzevent may contain links to third-party websites, services, or integrations (such as payment gateways, analytics tools, or social media platforms). These third-party services are not controlled by Letzevent.

We are not responsible for the content, privacy practices, or terms of use of any third-party websites or services. You access them at your own risk and should review their terms and policies.

12. Changes to Terms & Conditions

Letzevent reserves the right to modify or update these Terms & Conditions at any time. Changes will be effective immediately upon posting to this page with an updated "Last updated" date.

We encourage you to review this page periodically. Continued use of the platform after changes constitutes your acceptance of the updated Terms.

13. Termination

You may terminate your account at any time by contacting our support team. Upon termination, you will lose access to all platform features and data associated with your account.

Letzevent may terminate or suspend your account immediately, without prior notice, if you violate these Terms or engage in conduct that we determine to be harmful to the platform or other users.

14. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of Malaysia, without regard to its conflict of law provisions.

Any disputes arising out of or relating to these Terms or your use of Letzevent shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be subject to the exclusive jurisdiction of the courts of Malaysia.

15. Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable, the remaining provisions shall continue in full force and effect.
